Opt in to receive your AGM voting information by email

As a mutual building society, we’re owned by our Members, which means each year our Members can vote on key decisions for the Society, like who makes up our Board of Directors.

As a Member owned organisation, it’s important to us that as many of our Members as possible take the opportunity to vote.

During January, we are sending email communications to some of our Members, asking them to opt in to receiving their voting information by email rather than by post. If our Members agree and are eligible to vote, we will send their Annual General Meeting (AGM) voting information by email. This year, Members will receive this information in March.

If you have received this email, please see below a list of some common questions you may have.

Why have I been chosen to receive this?

We’re giving you the opportunity to receive your AGM information in this way because:

  • You have given us your email address;
  • And you’re currently eligible to vote in our AGM as of 31st December 2020. 

What if I would prefer to receive a paper pack?

No problem, you don’t need to do anything. Providing you are eligible to vote, you will receive your voting information in the post the week starting 15th March 2021.

Am I eligible to vote?

Yes, if you are a

Shareholding Member

a)     To qualify as a shareholding Member, you must:

i) if you are an individual, be at least 18 years old on 23 April 2021 (voting date), and

ii) have held shares* to the value of not less than £100 in the Society on 31 December 2020, and

iii) not have ceased to hold a share* or shares* in the Society at any time between 31 December 2020 and the voting date, and

iv) hold a share* or shares* in the Society on the voting date

b) Where the shares* are held jointly by two or more persons, only the first named in the records of the Society in respect of those shares* can have any voting rights.

Borrowing Member

a)     To qualify as a borrowing Member, you must:

i) be at least 18 years old on 23 April 2021 (voting date), and

ii) have owed the Society not less than £100 in respect of a mortgage debt on 31 December 2020, and

iii) owe the Society not less than £100 in respect of a mortgage debt on the voting date.

b) Where a mortgage debt is owed jointly by two or more persons, only the first named in the records of the Society in respect of that mortgage can have any voting rights.

(* A reference to ‘share’ or ‘shares’ is a reference to a share savings account or share savings accounts with the Society.)

How do I know this email is genuine?

Your postcode, if we hold it, will appear at the top of this email. We’ll also never request confidential information via email or take you to a website that asks for this information.

Can I change the email address you use to send me information?

Yes – just call us on 0330 333 5547 by 15th February if you want to change the email address in time for this year's AGM information. 

Can I use a different email address for marketing emails?

We can only use one email address for each Member for all our communications. So if you’ve opted in to receive marketing emails, this is the address we will use. 

Why are you contacting me now when AGM voting opens in March?

We want to make sure we’re giving you enough notice, so if you need to update your contact details we have time to do this and you don’t miss out. Our AGM mailing is sent to so many of our Members and we realise its importance to you. Therefore, we need to know by 15th February, to allow us time to run checks before your pack is sent.

When will I receive my AGM voting pack by email or post?

Your pack will be sent out week starting 15th March 2021.

When and where is the AGM taking place this year?

We’re currently living in strange and unpredictable times, so to ensure we do everything we can to continue to keep our Members and colleagues safe, we’re making this year’s Annual General Meeting (AGM) an online event on the 23rd April 2021 at 11am. At the event, you will be able to ask questions and hear from your Board.

How can I attend the online AGM?

Provided you continue to meet the voting eligibility criteria, we will send you an invite to attend the online AGM week commencing 15th March. You will need an email address and your voting codes to attend, so if you do decide to receive your voting information by post, please ensure you keep your voting codes safe. Once you’ve registered to attend the online AGM, we will send you all the details you need to access the event.  

Can I ask a question to the Board, in advance of the AGM?

Yes of course, if you would like to ask a question, please email memberfeedback@principality.co.uk . We will endeavour to answer your question within 10 to 12 working days.

I haven’t received an email, however if eligible, I would like to receive my AGM pack electronically. What do I need to do?
